1. Who we are

Trusted Landlords operates a UK-focused ratings and review platform for residential landlords and tenants. We are the data controller for the personal data collected through this platform. For data-protection questions, contact us at privacy@trustedlandlords.co.uk.

2. What data we collect

Landlords: email address, display name, optional agency or company name, general area (city or postcode district), profile slug, authentication information, and any replies you post to reviews.

Tenants submitting reviews: we do not require an account. We collect the star ratings you provide, your optional written review, your answer to "Would you rent from this landlord again?", the date and time of submission, and a reference to the single-use token you used. We do not ask for or store your name, email address, phone number or tenancy documents in the standard review flow.

Public visitors: we collect minimal technical data such as your IP address, browser type, and pages visited, through standard hosting logs and any analytics cookies you consent to. We do not use this data to identify individual users unless required for security or legal purposes.

3. How we use your data

We use landlord data to provide and manage your account, display your public profile, generate single-use review links, and allow you to reply to reviews. We use tenant review data to calculate and display aggregate ratings, category scores, and written feedback on the landlord's public profile.

We may also use data to keep the platform secure, prevent fraud and abuse, respond to legal requests, and communicate with you about your account or service changes.

4. The single-use link trade-off

Trusted Landlords does not require tenants to create accounts or prove their identity with documents. Instead, every review is submitted through a unique, single-use link generated by the landlord and sent to one specific tenant.

This model deliberately keeps friction low for tenants, but it also means that a landlord may be able to infer who wrote a review. For example, if a landlord only sends one link to one tenant, or labels links with private notes like "Flat 2B" or a tenant's name, the landlord may be able to match the review to the person who received the link.

We do not publish the tenant's identity. We do not show which link was used for which review. We do not show landlord labels on the public profile. However, we cannot prevent a landlord from guessing the author based on the timing, content or context of a review. This trade-off is fundamental to how the service works and is explained in our Terms of Use as well.

5. Legal basis for processing

We process landlord data on the basis of contract and legitimate interest: we need it to provide your account and the review service. We process tenant review data on the basis of legitimate interest and, where applicable, consent captured through the review form. We process technical data on the basis of legitimate interest in keeping the platform secure and functional.

6. Data sharing and third parties

We use trusted third-party service providers to host the platform and authenticate landlords. These providers process data only on our instructions and are bound by appropriate security and confidentiality obligations. We do not sell personal data.

Reviews themselves are public: the aggregate ratings, category scores, written review (if any) and the landlord's reply are displayed on the landlord's public profile. We do not display the reviewer's identity.

7. Cookies and analytics

We use essential cookies to keep the service running and, where you consent, analytics cookies to understand how the platform is used. You can manage your cookie preferences through your browser settings. We do not use tracking cookies for advertising purposes.

8. Data retention

Landlord accounts and profiles are kept while the account is active. If you delete your account, we will remove your personal data promptly, although some anonymised rating data may remain for statistical purposes. Review content is kept indefinitely unless it is hidden, deleted for abuse, or you successfully request its removal through our moderation process.

Single-use review tokens are stored as long as necessary to enforce the "one review per link" rule.

9. Your rights

Under UK data protection law you have the right to access, correct, delete, restrict or object to the processing of your personal data. Landlords can update most profile data through the dashboard. For other requests, contact us at privacy@trustedlandlords.co.uk. You also have the right to complain to the UK Information Commissioner's Office (ICO).

10. Security

We use industry-standard hosting, encryption in transit, and access controls to protect your data. Review links are generated with long, random tokens that are not sequential or guessable. However, no online service can be completely secure, and we cannot guarantee that unauthorised access will never occur.

11. Changes to this policy

We may update this Privacy Policy from time to time. The latest version will be posted on this page with the "Last updated" date. Significant changes will be communicated to landlords by email where possible.
